Job Summary and Purpose

Provide a wide range of employee relations services on a timely and accurate manner, and in alignment with the approved policies and procedures, for Nakilat employees. As well as ensure that all the employees’ related entries in the system in terms of employees’ information, allowances and benefits are timely and accurate.

Accountabilities

Key Accountabilities:

Employee Relations: 
1.    Supervise all entries related to employees’ information into the system and ensure maintaining employees’ data up to date.
2.    Ensure processing all changes related to employees’ status and remuneration on a timely manner.
3.    Ensure processing all requests raised related to employee relations services for all employees on time, and as per the applicable policies and procedures.
4.    Ensure maintaining and updating employees’ files while ensuring their confidentiality.
5.    Respond to employees enquires related to employee relations policies and procedures.
6.    Prepare and type memos and letters related to employee relations as needed.
7.    Assist in communicating and circulating new/updated policies, procedures, and regulations to Nakilat employees.
8.    Assist in investigating and conducting disciplinary cases, prepare case briefs, and follow up with regards to the agreed/decided actions.
9.    Administer all employment contracts, by monitoring company payroll, approving eligible allowance and benefits, while ensuring compliance with the applicable laws and requirements.
10.    Review insurance policy and determine medical coverage, as well as ensure that adequate medical insurance is provided to NAKILAT and Joint Venture Companies’ employees and their eligible dependents.
11.    Assist IT in reviewing, testing and implementing the proper HRIS systems upgrades and enhancements, including maintenance of systems tables, to ensure that HR needs are addressed.
12.    Ensure providing the required support related to new employees’ mobilization by making necessary arrangements like hotel booking, travel arrangements, temporary hotel booking.
13.    Verify employees’ claims, allowance, and benefits in line with the applicable policies and procedures. 
14.    Maintain an updated Organization Structure and Headcounts in system.
15.    Administer the process of life insurance coverage claim as per the applicable Life Insurance policy.
16.    Ensure that all employees and their eligible dependents are provided with the medical assistance, as per the applicable Insurance policy.
17.    Coordinate with IT to ensure maximum utilization of the ERP and other HR related systems.
18.    Administer all types of employees’ benefits and payments (e.g.) Airfreight, end of service benefit, National leave bonus, education assistance…etc.
19.    Liaise with the payroll team to ensure all employees payments are processed accurately and in a timely manner.
20.    Prepare periodic reports related to Employee Relations service desk requests for management.

23.    Implement approved departmental policies, processes and procedures, and provide instructions to subordinates to ensure their proper implementation.
24.    Coordinate the implementation of new policies configuration in the system.

Key Result Areas

•    Learning & Development Section -  to process the salaries and claims of Marine Cadets
•    Payroll Team – to respond to any remuneration related clarifications. 
    
External:
•    Banks -  to open bank accounts for new joiners and provide notification for leavers.
•    Schools -  to obtain information related to school fees for employees’ claims;
Medical Insurance Providers – to process employees’ related medical claims.

Qualifications, Experience and Job Skills

Qualifications: 
•    Bachelor’s degree in Business Administration, Human Resources or any other related filed.

Experience: 
•    2-4 years of related experience in a similar position / responsibility. 
•    Previous experience in Oil & Gas industry and regional experience is preferred.  

Job Specific Skills: 
•    Knowledge of HR-ERP systems, preferably SAP.
•    Knowledge of HR policies and procedures.
•    Knowledge of Qatar Labour Law and regulations. 
•    Experience of generating Payroll reports. 
•    Knowledge of Microsoft Office.
